Donation Policy
Effective Date: October 29, 2026 · Last updated: October 29, 2026
Donations keep TownHallOS free and independent. This policy explains how we process gifts, send receipts, handle refunds and protect your information. TownHallOS is a 501(c)(3) tax-exempt nonprofit organization. Contributions are tax-deductible to the extent allowed by law.
1. How to give
- Online: use the Donate button on our site, which opens our Givebutter campaign.
- By check: make it payable to TownHallOS and mail it to 8401 Mayland Drive, Suite A, Richmond, VA 23294.
2. Payment processing and fees
Online gifts are processed by Givebutter. Your payment details go to Givebutter and its payment processors; we never see or store your full card or bank account number. Card processing fees may apply, and the donation form may let you cover them.
Givebutter may also ask you for an optional tip to support its platform. That tip goes to Givebutter, not to TownHallOS, and isn't part of your gift to us.
3. Tax receipts
You will receive an emailed receipt for every online gift. It shows our name, the amount and date of your gift, and states that you received no goods or services in exchange, which is the written acknowledgment the IRS requires for gifts of $250 or more. Keep it for your tax records. If you need a receipt resent, or a receipt for a check, email community@townhallos.org.
4. Recurring gifts
You can change or cancel a monthly or yearly gift at any time using the link in your Givebutter receipt email, or by emailing community@townhallos.org. Changes apply to future payments.
5. Refunds
If you made a mistake, such as the wrong amount or a duplicate gift, email community@townhallos.org within 30 days of your gift and we will refund it. After 30 days, contact us and we will do our best to help.
6. How we use your gift
Unless you tell us otherwise, your gift supports our mission wherever it's needed most, including:
- Maintaining and improving the platform, and keeping it free for everyone.
- Building new civic tools and data sources.
- Educational content and community resources.
- The operating costs that make all of this possible.
If you designate your gift for a specific purpose, we will use it for that purpose or contact you if we can't. No part of any gift benefits any individual privately.
7. Gifts we accept
To protect our nonpartisan mission, we don't accept gifts that come with conditions on what we build or how we present information, and we don't accept contributions from political candidates, campaigns, political parties or political action committees. Contributions never influence what we build, who we serve or how we present data.
8. Donor privacy
We never sell, rent or trade donor information. We use it only to process your gift, send your receipt, thank you and, if you choose, send you updates. If you'd like your gift to be anonymous, choose that option on the donation form or tell us, and we won't name you publicly. Givebutter's own privacy policy covers what you enter on its forms. Our Privacy Policy covers the rest.
